Terms of Operation and Agreement between Member and Loudoun Flavor: Order pickups will be Fridays from 1-6 (in future, pick up opportunities will increase). The pick up day is subject to change (due to inclement weather, etc.). We will be closed for the following holidays (Easter, Labor Day, Memorial Day, July 4, Christmas, New Years). When shopping, each customer will choose a convenient location for picking up orders each week. All customers will register with Loudoun Flavor and pay annual dues. The dues cover administrative costs associated with employee(s), merchant payments and advertising/promotion throughout the season. The membership fee must be received prior to purchasing any items. After 30 days (from date of registration), these fees are not refundable. Loudoun Flavor customers are responsible for keeping Loudoun Flavor informed of any changes in contact information especially e-mail address and telephone numbers. As a virtual market, we cannot process customer orders via any other method than our website. Our website is operated on a secured server and your information is protected and not shared with third parties. Customers can browse our market anytime and can place weekly orders on the website during “shopping times” (2—3 days of shopping time prior to order delivery date). All purchases must be paid online via credit/debit card. To ensure timely payment to our farmers, all items ordered will be paid for in advance and adjustments to accounts will only be made when missing or damaged items are recorded by the Loudoun Flavor Host during pick up hours. All missing and/or damaged items must be recorded upon pick up in order for adjustments to accounts to be made. Food items cannot be returned after pick-up. Customers must address any complaints to the farmer/vendor that produced the item. All contact information for our vendors is on the website. In the event that there is an unfulfilled order due to missing or damaged product, a credit will be made to members account which can be applied to the next ordering cycle. Refund checks are available if preferred by the customer. Loudoun Flavor guarantees that all vendors have been carefully screened for quality/flavor, however only the individual producer/farmer is responsible or liable for problems arising from the handling of, purchase ofor use of the products. Loudoun Flavor does not control the pricing of the vendor’s products but vendors will be advised to make changes if prices are not competitive with similar products and/or higher than those found at other farmer’s markets. Please note that orders are perishable and Loudoun Flavor is not responsible for products that are not picked up during the specified pick up time. If you know 24 hours in advance that you will not be able to make a pick up, please contact the Market Manager (703) 350-2790. Items not picked up will be donated to a Loudoun Flavor volunteer and/or a local charity. Please bring your own bags or boxes to the pickup location each week to collect your order. Perishable, refrigerated and frozen products will be stored in ice packed coolers and will be clearly labeled with customer name. If you are not sure if an item belongs to you, ask the Host or call the Market Manager. Please be considerate of other customer orders when retrieving your items. Once you leave the pickup location the weekly transaction cycle is complete and missing items/errors can not be credited. It is the customer’s responsibility to check that their order is complete before leaving the site. This agreement expires on the membership expiration date.
